Scanning from the Server
It is not a good idea to scan from the server. The
scanner does fail once in a while, and you will need to reboot thus
taking the server offline.
Scan Settings
If
you are scanning carbonless paper, such as the SR22 forms from the
companies, you may need to set the sensitivity higher. Test
it and use what works best for you. Remember that the higher the
sensitivity the more room the image file is going to take up on your
hard drive.
Scanning Existing Files
When scanning your existing files, it is best to organize your scans
by the Production date so that when done with a month you can produce
the backup CD. Otherwise, you are working on many months at the same
time you will not be able to do your backup very easily and are leaving
your self in jeopardy.
Backups
It is imperative that you make two CD backups of all your images. One
CD is kept off premise so that if your office burns you still have all
your images. One copy is kept on site for use when images are archived.
The file maintenance system of CMS allows you to archive images
according to rules that you set up. An example would be that you could
set a "Billing" to archive after 90 days or whatever time
period you would like. If someone needs to view that image, the program
will tell you to load the CD with that date and will load the image from
there.
Descriptions
When you are attaching, a description list is provided for you to
describe the image. This list can be added to by choosing user input at
the end of the list and then pressing the "ADD" button.
Skipping and Deleting Images
At the top left corner of the attachment screen are two buttons of
interest. Pressing the button with the right arrow skips the current
image for this session. It will be presented for attaching the next time
Attach is run. Pressing the button with the red X deletes the current
image.
Page/Screen Size
If you can not see enough of the image to identify the insured, adjust
the screen resolution in the Display settings in Control Panel of Windows.
